How to integrate and use Xero with Zuper?


The three major sections we are going to discuss here are:

A. How to connect Xero with Zuper? 

B. How does Zuper – Xero Integration work?

C. How to uninstall Xero from Zuper? 

This uni-directional integration pushes Zuper’s estimates and invoices to Xero.

Pre-requisites:

Zuper API Key and Xero OAuth - When they click on install in our app store, they will be presented with this screen to permit their Xero account. This process is called OAuth.



A. How to connect your Xero with Zuper? 

1. Open a new tab in your browser once you are logged in to your Zuper Account.

Click on your Profile Picture in the top right corner of the screen and select the “App Store.




2. Under the “Browse by Category,select the “Accounting and Payments” option and choose “Xero.”


3. Click on the “Install Xero” button.


Note: With Zuper and Xero tabs open, you can switch between the tabs for integration. Switch to the Zuper tab on your browser and log in to your Zuper account.

4. A pop-up will appear, and you need to check and provide access to the data flow by clicking on the “Allow Access” button.




5. Update Xero Settings by configuring the following fields:

      a. Zuper API Key (Mandatory Field)Enter the Zuper API key.(Click here: How to generate Zuper API Key).

Note: You need to have a dedicated account that uses Zuper API key for the smooth Zuper-Xero Integration.
b. Tenant Name (Mandatory Field) – Enter the instance name of Xero, which is displayed in the top left corner of Xero.   



 c. Estimate Sync (Mandatory Field) – You can choose either “Yes” or “No” to push the quotations from your Zuper account to Xero.
d. Invoice Sync (Mandatory Field) – You can choose either “Yes” or “No” to push the invoices from your Zuper account to Xero.

e. Use Zuper Estimate Number (Mandatory Field) –  You can choose either “Yes” or “No” to utilize your Zuper account’s prefix quote number to Xero

f. Use Zuper Invoice Number (Mandatory Field)You can choose either “Yes” or “No” to utilize your Zuper account’s prefix invoice number to Xero.

      g. Delete Cancelled Invoice / Estimate (Mandatory Field) – You can choose either “Yes” or “No” to remove the canceled invoice or quotations in Xero, which got synced from Zuper.

h.  Sync Tax Master (Mandatory Field) – You can choose either “Yes” or “No” to push the tax master data from your Zuper account to Xero.

i.  Line-Item Account Code (Mandatory Field) – Xero account will have the Chart of accounts.” You need to enter the account code of Xero for which the product from Zuper gets synced

j. Payment Item Account Code (Mandatory Field) – Xero account will have the Chart of accounts.” You need to enter the account code of Xero for which the invoice from Zuper gets synced.



Note: A check mark on the “Enable Payments on this account” will help you map the line-item account code if you use the same account code for the product and payments. 



Select the “Update” button to connect Xero app with Zuper.


B. How does Zuper – Xero Integration work?

1. log in to your Zuper account and create a quotation from the left panel.

Based on the configuration done, the quotation sync happens in Xero.

Zuper:

The quotation created in Zuper will be reflected in Xero based on earlier installation steps.



Xero:

Once a quote is created in Zuper, it will be reflected in Xero based on the installation settings.


2. The invoice created in Zuper will be reflected in Xero based on earlier installation steps.

In this case, the partially paid invoice of Zuper will be reflected in Xero.

The invoice with partial payment status in Zuper will be reflected as “Awaiting Payment” based on the installation settings.



3. In this case, the fully paid invoice of Zuper will be reflected in Xero.

The invoice with full payment status in Zuper will be reflected as “Paid” based on the installation settings.



4. In this case, the canceled quotation of Zuper will be reflected in Xero.

Once a quote is deleted in Zuper, it will be reflected in Xero based on the integration settings as “Deleted” in Xero.



5. In this case, the declined quotation of Zuper will be reflected in Xero.

C. How to Uninstall your Xero from Zuper? 

1. Open a new tab in your browser once you are logged in to your Zuper Account.

Click on your Profile Picture in the top right corner of the screen and select the “App Store.




2. Under the “Browse by Category,” select the “Accounting and Payments” option and choose “Xero.”


3. Click on the “Uninstall Xero” button.



4. The Xero app is uninstalled successfully.  



This integration enables Zuper to automatically push estimates and invoices to Xero for seamless financial management.
