How to access service tasks offline in the Zuper mobile app?
Service tasks are individual well-defined/predefined tasks inside a job that have their own start, end date, and employee assigned.
To learn more about how to create and manage service tasks, click here.
Previously, service tasks were only accessible when the Zuper mobile app was connected to the Internet. Now you can also access service tasks offline in the mobile app and perform several actions. To learn more about how to turn on offline Mode, click here.
After turning on offline mode and when the app shows the status as "Ready for offline usage," you can perform several actions, including:
- View assigned service tasks for a job.
- View asset associated with the service task.
- Submit associated inspection form.
- View submitted inspection form.
- Update the status of service tasks.
- Automatically assign users based on status updates.
Note: To access jobs containing service tasks offline in the mobile app, the job must be scheduled within 7 days from the current date.
Viewing assigned service tasks for a job
To view the assigned service tasks for a job, follow these steps:
- Click the top-left “hamburger” icon and select "Jobs." You will see a list of assigned jobs scheduled within 7 days from the current date.
- Choose the required job from the list. You will land on the selected job details page.
- Click the “Tasks” tab to view the list of associated service tasks for the job.
- Select the relevant service task from the list to view their details such as description, inspection form, and associated asset, if any.
Viewing asset associated with the service task
When you link an asset for the service task, it can be viewed in the service task "Details" tab.
- Select the relevant service task.
- Click the linked asset under the “Asset” section on the “Details” tab. The Asset Details page will open, allowing you to view more asset-related information.
When you have associated an inspection form for the service task, you can view, fill out, and submit it from the service task’s "Details" tab.
- Select the relevant service task. The selected service task details appear.
- Click the "Submit Form" button under the Inspection Form section to view, fill out, and submit the associated inspection form.
If you have already submitted an inspection form for the service task, you can view it from the service task’s “Details” tab.
- Select the relevant service task. The selected service task details appear.
- Click the “Edit Submitted Form" button under the "Inspection Form" section to view and edit the submitted form.
Updating the status of service tasks
To update the status of any service tasks associated with the job.
- Select the service task from the "Tasks" tab.
- Click the “Update task Status” button at the bottom. A bottom bar will appear, allowing you to choose a specific status such as Open, In-progress, On-hold, Completed, Cancelled, and more.
Auto assignment of user based on status update
This means when there is a service task within a job that has not been assigned to any user, and if a user updates the task status through the Zuper Mobile App during the offline mode, they will be automatically assigned to that task.
For example: Imagine a job with multiple service tasks, where one task has not yet been assigned to a specific technician. In such case, a technician named John notices that the task is pending and updates its status to "In Progress" using the Zuper Mobile App, even while offline. The Zuper system will automatically assign John to the task because he took action on it, ensuring the task is now linked to the technician performing the work.
So, that’s it. Now you can access service tasks offline and perform the actions mentioned above. Once these activities are carried out in offline mode, they will be indicated as "Updates are awaiting upload." When you turn on Wi-Fi or connect to the Internet, all the changes will be reflected.
