How to use Zuper Dispatch Board?

The Dispatch board helps produce a centralized overview of the Jobs performed for a day and act on the unattended Jobs in a single click. The dispatch board helps the users to track Unassigned Jobs, Unscheduled Jobs, and Overdue Jobs. You can highlight the Jobs based on Job Status, Team, and Job Category.  The pending item list tracking is made simple. Field technicians and field service allocation is quickly possible with the Dispatch board. The team’s work allocated time and free time can be easily tracked.  
 

1. Click on the "Dispatch Board" section from the left panel.From the Screenshot below, you can view the present-day jobs, Monthly Jobs, Weekly Jobs, and a particular day's Job efficiently. 



2. You do not need to worry about missed jobs/jobs allocation. The Unassigned Jobs, Unscheduled Jobs, and Overdue Jobs are easily tracked in the system.  

A) Unassigned Jobs refer to any jobs that are scheduled but not yet assigned to any Field Technician.  

B) The Unscheduled Jobs refers to jobs that have a due date but are not yet scheduled.  

C) The Overdue jobs mean any that are past their set due date.


This dropdown displays the list of teams, and choosing a team will show the respective team members and their assigned jobs on the dispatch board optimally with one click

 
3. You can easily filter the jobs using the "Filter" option. The filter option helps to easily view the specific items related to the Jobs. The Filter options enable the user to search the Jobs displayed by the Job Title, Zip code, and customer name.  

 You can highlight Jobs based on the Job Status, Team, and Job Category.

 4. The amazing feature of the display of the Job based on day, month, and week views will help you to plan for the present and future timeline. The dispatch board helps the users to “Zoom in” and “Zoom Out.” The Zoom in option can be used to show for a 30 min interval time of the day, whereas the “Zoom Out” option shows the default hours view. The date picker option will help to select a different date.
A) Reschedule Job – The Reschedule Job option helps in displacing the Job to another date.  

B) New Note – This allows the user to add specific notes related to the Job.  

C) Unassign – This option helps the user to remove the Job from a particular person and date.  

D) Open Job in a new Tab– This option helps the user to open the Job to know further details.  

E) View Job Details - This lets you view the job details. 
F) Delete Job - This option helps you to delete the job. 


 5. You can drag and drop the Job to another day, which makes your rescheduling so simple. You can also remove the rescheduled job from the route by tapping on the checkbox "Remove Job From [Route]"This “Remove Job from Route” checkbox is shown only if the job has an associated route.  

 


Dispatch Board - Customizations
 

1. The exciting toggle features of the dispatch board: 

Dispatch Board is given a new look with complete data customizability and support for multiple time zones. 

Select the “Settings” icon from the top right corner and choose the “Customize” option. 

2. Customize Dispatch Board comprises three views:

a. Jobs View

b. Scheduler View

c. Map View

a. Jobs View:

From settings, under Scheduler View, toggle on or off to enable or disable the “Show Scheduler” and click the “Save” button. 




Under the Jobs view, select the “Table” option from the display type dropdown list and choose the “Save” option.
Job’s view represents the left pane of the dispatch board where Unassigned/Overdue jobs appear. You can now decide to view these jobs in Card or Table with complete customizability over columns/fields to display.
Job view provides two display types - Compact & Table. Compact mode displays the jobs in card format, whereas table displays as a table with columns.
Under Jobs View, a data filter is added to filter the jobs by date range. Predefined options are given, including Any Date, Today, Next 7 Days, etc.


From the Jobs view, you can set the number of Jobs to view as 100 and select the “Save” button. 


The table view is shown below:



Under the Jobs view, select the “Compact” option from the display type dropdown list and choose the “Save” option. 


The compact job’s view is shown below:



From the Jobs view, for the “Table/ Compact” display type, you can select the “Custom Fields.”


 Now mark a check on all the relevant tiny “Square boxes” to display on the Dispatch board, then select the “Save” button. 



b. Scheduler View:

1.     From settings, under Scheduler View, toggle on or off to enable or disable the various options listed and click the “Save” button.


Duration Between Jobs

Set the toggle “On” or “Off” to display the difference time between Jobs on the Dispatch Board.

Show Job Summary

Set the toggle “On” or “Off” to display the job summary on the Dispatch Board.

Hide Weekends

Set the toggle “On” or “Off” to hide weekends.

Show Business Hours

Set the toggle “On” or “Off” to display the business hours on the Dispatch Board.

Show Capacity

Set the toggle “On” or “Off” to display the capacity of the field executives.

Show Week Numbers

Set the toggle “On” or “Off” to display the week’s numbers.

Highlight Jobs By

Select the preferred input from the dropdown box to highlight the jobs on Dispatch Board.

Time Zone

Select the preferred input from the dropdown box to choose the appropriate time zone type on Dispatch Board.

Two options are available - Browser Time Zone and Custom Time Zone.

 

Choose Time Zone

This field will appear only if 'Custom Time Zone' is selected and lets the user see the jobs in the time zone of their preference.

Employee Card Customization

Employee card customization lets you display the fields of the respective Field Executive.

You can use the checkbox to decide which fields to be displayed for the Field Executive.

Job Card Customization

Job’s view represents the left pane of the dispatch board where Unassigned/Over-due jobs appear.

You can now decide to view these jobs in Card or Table with complete customizability over columns/fields to display."

You can choose from fields including Scheduled Time, Due date, Customer Name, Service Address Street, City and State, and Service Address – Zip code.




Select the “Save” button to save and view the scheduler view based on the saved settings. 


c. Map View:

1.  From settings, under Map View, toggle on or off to enable or disable the “Enable Map View / Show Employee Location” and click the “Save” button.

Under the Map view, select the preferred “Dispatch Board Appearances.”

Enable Map View

Set the toggle “On” or “Off” to enable or disable the map view.

Live Employee Location

Set the toggle “On” or “Off” to display the live location of the employee for the current day. 




Select the “Save” button to save and view the map view based on the saved settings. 


Select the “Time Zone” section to modify the time zone details.

The time zone will appear if you choose 'Custom Time Zone' on the scheduler settings. You can use this button to toggle the dispatch board across different time zones.




Choose the time zone you prefer and select the “Update” button.

 The updated “Time Zone” is shown.



Hovering over the employee’s name displays more information about this user with quick actions such as call and view details.



The time off option shows the employee’s scheduled off time created by the company.  



 

  1. The holiday for a particular day is shown on the dispatch board as follows: 

 

The time off and new Job creation is seamlessly done on the dispatch board itself. By dragging a time range on time for the day, the pop will prompt the user to select “New Time off” creation or “New Job” creation.  



By using the “Filter Employee Schedule” option using the “Filter” icon present on the right side of the page, the Dispatch board helps to get the best results for the user based on the following filter options: 

              A) Filter by Job Category – Based on the list of available Job categories in the dropdown list.  

             B) Filter by Due Date – Based on the due dates like Yesterday, Today, Tomorrow, This Week, and This Month.  

             C) Filter by Job Priority – Based on the options such as Low, All, Medium, High, and Urgent.  

             D) Filter by Customer – Based on the specific customer.  

             E) Filter by Assigned Employee – Based on the employee who is assigned for the Job.  

             F) Filter by Tags – Based on the Tags specific to the Job.  

             G) Filter by Roles – Based on the assigned roles for the Job.  

Dispatch Board - Route Enhancements:

Navigation:  Dispatch Board --> Maps View -->  Create Route  
Navigation:  Dispatch Board -->  Maps View --> Create Route  --> Job Category (Displayed)
The relevant jobs are selected, and users can create a route under the maps view.
1.      Select the “Dispatch Board” module from the left panel.



2. Select the “Settings” icon and you can toggle on the “Maps View.



3. Select the jobs for the day. You can now select and draw the shapes such as polygons and squares to create the routes on the map. Now select the “Create Route” button.

Click the “Create Route” button. (Now you can create job routes without choosing the Show routes option).





4.  Enter the new route details such as “Route Name, Departure Date, Departure Time, Route Duration, Route Color, Route Optimization Type, Transport Mode, Start Location, and End Location.”


5. You can view the “Job” details and assign “Employees” to the route and select the “Create Route” option.

Our new update displays “Job Category” on the dispatch board’s job details. 




6.  The job route is created successfully. The Routes legend will show the routes for the particular day.



Our new feature lets the users draw the shapes like rectangle, polygon, and square that connects all the jobs, and the route can be effectively created.


Customer Picker

Navigation:  Dispatch Board -->  Drag and Drop Job --> New Job / New Time off  -->Customer Details --> Search Customer

You can load all the customers with the enter search key, and now the Dispatch Board supports up to 100 matching results while searching the Customer. 

1. Select the “Dispatch Board” module from the left panel.




2. The time off and new Job creation is seamlessly done on the dispatch board itself. By dragging a time range on time for the day, the pop-up will prompt the user to select “New Time off” creation or “New Job” creation.



3. Under the “Customer Details” tab, select “Choose Customer,” With the new enhancement, you will get the customer list based on the chosen keyword. 


Custom Fields - Dispatch Board:


      1. Select the "Dispatch Board" module from the left panel.


2. Now tap on any one of the “Job Card” to view the Custom Fields on the Job Details view.


With the dispatch board now, the users get more merit to handle the Jobs efficiently without any flaws.  


Track Employee's Live Location:

Navigation:  Dispatch Board --> Toggle on (Map View, Show Employee Location) 

The employees' live location for the current day can be tracked quickly by selecting the particular employee and choosing the day as "Today."

1. Select the "Dispatch Board" module from the left panel. 



2. On the top right corner, select the "Settings" icon. Toggle on the "Map View" and the "Show Employee Location."



3.  Select the "Employee" and day as "Today" to view the employee's live location on the dispatch board. 



With this new feature, businesses can plan for the employee's work allocations based on the live location; hence, assigning a job for the next job will be easy.
