How to create & manage an asset inspection checklist for the Zuper Web App?

The field service team inspects and records the asset issues or maintenance, and with our new form, this asset inspection is made easy.  

Navigation:  
Settings --> Custom Fields and Checklist Settings --> Inspection Forms

Asset Management --> Asset Details --> Asset Inspection Form

If the job has one or multiple assets during the job, the Field Technician can choose the asset’s form and fill in the information for each asset.

Pre-Requisites:

The settings should be configured for the Asset Inspection form and associated with the Asset. The Asset inspection form can either be created or modified or deleted.

1.  Select the “Settings” module from the left panel.



2. Select the “Asset Inspection Form” section under the “Custom Fields & Checklist Settings."

Click on the “+ New Form” to create the new inspection form.




4.  Enter the following details to create the new inspection form:


Inspection Form Name (Mandatory Field)

The name of the inspection form.

 

Select Asset Category

The category under which the Asset belongs.

Choose the asset category from the drop-down list

Inspection Form Description

The description of the inspection form helps the technician identify the issues.

Inspection Form

The selected custom fields for the asset inspection by the user.

Available Components

Single-Line Input: This allows you to create a field to enter a single line of free text.

Multi-Line Input: This allows you to create a field to enter multiple lines of free text.

Date Input: This allows you to create a calendar field that can be used to select the date.

Time Input: This allows you to create a clock field from which you can select a time.

Date & Time Input: This allows you to create a field where both date and time can be selected.

Drop-down: This allows you to create a drop-down field with a required list of options.

Checkbox Input: This allows you to create checkboxes where a set of options can be checked.

Radio Input: This allows you to create a radio input field where only one of the listed options can be selected.

Single Picture: This allows you to create a single picture field where an option can be checked.

Multiple Picture: This allows you to create various picture fields where a set of options can be checked.

Barcode: This allows you to create barcode fields.

Signature: This allows you to create signature fields.

Section Header: This allows you to add the section header fields.


Select the “Create Form” option to save the new “Asset Inspection Form.”


5. Select the “Create” button to generate the asset inspection form.



6. Select the “Edit” icon       to modify the existing asset inspection form.


7. Enter the following details to modify the current inspection form:

Inspection Form Name (Mandatory Field)

The name of the inspection form.

Select Asset Category

The category under which the Asset belongs.

Choose the asset category from the drop-down list

Inspection Form Description

The description of the inspection form helps the technician identify the issues.

The selected custom fields for the asset inspection by the user.

Available Components

Select the “Save Form” option to update the existing “Asset Inspection Form.”

8. Select the “Update” button to streamline the asset inspection form.



9. Select the “Delete” icon       to delete the existing asset inspection form.



A.    Associate Asset Inspection Form with the Assets

The inspection form configured should be linked to the assets for the user to use the form to record the issues.

 1. Select the “Assets” module from the left panel.



 2. Enter the following details under the “Primary Information” tab:


Asset Code (Mandatory Field)

The code that identifies the Asset.

Asset Name (Mandatory Field)

Enter the name of the Asset required to identify them.

Asset Category (Mandatory Field)

The category under which the Asset belongs.

Choose the asset category from the drop-down list.

Asset Image

Select the “Choose File” option to add the asset image.

Asset Quantity

The number of quantities of the Asset.

Choose the asset quantity from the drop-down list.

Asset Ownership

The owner who owns the Asset.

Purchase Date

The date on which the Asset is purchased.

 

Purchase Price

The price of the Asset during the procurement.

Warranty Expiry Date

The date on which Asset’s warranty expires.

Placed in Service

The date on which Asset is placed in service.

Residual Price

The estimate of the future value for the current Asset.

Useful Life

The expected lifetime of an asset.

Asset Serial No.

The unique number identifying the Asset.

Asset Inspection Form

The type of inspection with respect to Asset.

Asset Description

The description of the Asset.


Note: The appropriate asset inspection form will be displayed on the drop-down list based on the chosen asset category.

 The default asset inspection form will be shown on the drop-down list if no asset category is selected. 

You can view the prefilled asset details based on the product selection and fill in the Customer Information Section, Asset Parts section, and Asset Attachments Section.

Then, select the “Save Asset” option to save the new Asset. 

Edit the asset form:

1. Select the “Assets” module from the left panel.



2. Select the Asset for which you want to edit the “Asset Inspection Form” and select the “Edit” icon     to update the asset inspection form details. 



3. Select the “More Actions” option to select the “Edit Asset” option.



4.  Modify the “Asset Inspection Form” details by clicking on the drop-down list. 



B. How to associate the Inspection Form under the Jobs Module?

1. Select the “Jobs” module from the left panel.



2. Select the Asset for which you want to edit the “Asset Inspection Form.




3. Select the “+ Add Asset” option from the bottom right corner.



4. A pop-up will be displayed. Select the add icon to link the Asset with the job, and after selecting the Asset, click on the “Update” option.



5.  Select the “Fill Inspection Form” icon     from the bottom right corner.


6.  Fill in the “Inspection Form” based on the asset requirements and observations and click on the “Submit” button.


7. The submitted inspection form can be modified using the edit icon. 



8. Modify the required details and click on the “Submit” button.



The asset inspection form is critical for businesses to know the status and service required.
