How to create & manage reminder and delay alerts for Jobs, Customers, Quotes & Invoices?

Customer Reminders:


Navigation:  Settings --> Configuration Settings --> Notification and Alerts --> Customer Reminder

You can now set automated follow-up reminders for both customers & back-office team for the pending items that need action. 

1. Select the "Settings" module from the left panel, and under the "Configuration Settings" section and select the "Notification & Alerts."



2. Under "Configurations", Select Customer Reminder and choose "+ New Reminder" to add the new customer alerts.



3. Enter the following details to create the "New Customer Reminder."

a)      Reminder Name – Enter the name of the customer reminder (Mandatory field).

b)      Notification Type – The notification type can be SMS or Email (Mandatory field).

c)      Reminder Types

I)      Scheduled Start time – The customer reminder happens at the scheduled start time. ( Remind At – option to choose the time will be shown).

ii)  Relative to Start time – The customer reminder happens before the start time (Remind Before – option to choose the Days/Hours/Minutes will be shown).

iii)     Relative to End time – The customer reminder happens before the End time (Remind Before – option to choose the Days/Hours/Minutes will be shown).

Iv)    Relative Due Date - The customer reminder happens before the due date (Remind Before – option to choose the days shown).

This is the new feature we have added.

d)   If the notification is chosen as "SMS, " the user must fill in the SMS Body
(Mandatory field) and the Available Components.

e)      If the notification is chosen as an "Email," then the user needs to fill in the From ID, Additional Email Recipients, Email Subject (Mandatory field), and the Email body (Mandatory field).

Select the "Save Reminder" option to save the customer reminder. 




4. Select the edit icon    to modify the customer reminder. 



5. Make the necessary changes and select the "Save Reminder" option to update the customer reminder.



With our on-time automated follow-up reminders, the user can now act on the pending line items that need action. 


Job Delay Alerts:

Navigation:  Settings --> Configuration Settings --> Notification and Alerts --> + New Delay Alert

You can now set automated delay alerts for both customers & back-office team for the pending jobs that need action. 

1. Select the "Settings" module from the left panel, and under the "Configuration Settings" section and select the "Notification & Alerts."



2. Under "Configurations", Select Customer Reminder and choose "+ New Reminder" to add the new delay alerts for the jobs.



3. Enter the following details to create the "New Job Delay Alert."

a)     Alert Name – Enter the name of the job delay alert (Mandatory field).

b)      Notification Type – The notification type can be SMS, email, or push notification. (Mandatory field).

C)    Delay Alert Type – The delay alert type is based on the Job Schedule, Due Job Date, and Status. (Mandatory field)This is the new feature we have added.

The new options will be shown based on the delay alert type chosen.

Select the "Save Alert" button to save the job delay alert. 



5. Select the edit icon         to modify the Job delay alerts. 



6. Make the necessary changes and select the "Save Alert" option to update the Job Delay Alert.



With our on-time automated delay alerts, the user can now act on the pending jobs that need quick action.


Job Reminders:

Navigation:  Settings -->  Configuration Settings --> Follow Up Reminder --> + New Reminder

You can now set automated follow-up reminders for both customers & back-office team for the pending jobs that need action.

1. Select the "Settings" module from the left panel, and under the "Configuration Settings" section and select the "Notification & Alerts."


 

2. Under "Configurations", Select Follow-up Reminder and choose "+ New Reminder" to add the new reminder for the jobs.



 3. 
Enter the following details to create the "New Job Reminder."

a)      Reminder Name – Enter the name of the job reminder (Mandatory field).

b)      Notification Type – The notification type can be SMS, email, or push notification (Mandatory field).

c)      Reminder Types (Mandatory field).

                 i.   Scheduled Start time – The job reminder happens at the scheduled start time. ( Remind At – option to choose the time will be shown).

         ii.  Relative to Start time – The job reminder happens before the start time (Remind Before – option to choose the Days/Hours/Minutes will be shown).

         iii.  Relative to End time – The job reminder happens before the End time (Remind Before – option to choose the Days/Hours/Minutes will be shown).

        iv. Relative Due Date – The reminder happens before the due date (Remind Before – option to choose the days shown). This is the new feature we                 have added.

d) If the notification is chosen as "SMS, " the user must fill in the SMS Body (Mandatory field) and the Available Components.

e) If the notification is chosen as an "Email," then the user needs to fill in the From ID, Additional Email Recipients, Email Subject (Mandatory field), and the Email body (Mandatory field).

f)  If the notification is chosen as "Push Notification, " the user must fill the Alert template and Send Reminder options.

Select the "Save Reminder" option to save the job reminder. 


4) Select the edit icon    to modify the job reminder.



5. Make the necessary changes and select the "Save Reminder" option to update the job reminder.

Quotes Reminders:


Navigation:  Navigation:  Settings -->  Configuration Settings --> Quotes & Invoices --> Follow Up Reminder --> + New Reminder

You can now set automated follow-up reminders for both customers & back-office team for the pending quotes.

1. Select the "Settings" module from the left panel, and under the "Configuration Settings" section, select the "Quotes & Invoices."


 

2. Under "Configurations", Select Followup Reminder and choose "+ New Reminder" to add the reminder for Quotes.




3. Enter the following details to create the "New Followup Reminder."
     Choose Module – The dropdown displays all the Quotes / Invoices. (Mandatory field).
      Remind To  – The reminder type can be the customer or internal teams. (Mandatory field).
      Reminder Name (Mandatory field) – The name of the reminder.
       Remind In Days: The follow-up reminder (Remind Before, Remind after) is based on the Quote Date and Expiry date. 
      Remind At - The exact reminder time for the quotes and invoices alert. 

      Estimate Template: Select the estimate templates as "Quote."

     Reminder Type – The reminder type can be either Email or SMS
If the notification is chosen as an "Email," then the user needs to fill in the From ID, Additional Email Recipients, Email Subject (Mandatory field), and the Email body (Mandatory field).

If the notification is chosen as "SMS, " the user must fill the SMS body. 

3.  Select the "Save Reminder" option to save the follow-up reminder.

 

 The new reminder has been created successfully and by now, you can also edit the existing quotes.

 Invoice Reminders:

Navigation:  Navigation:  Settings -->  Configuration Settings --> Quotes & Invoices -->  Follow Up Reminder -->  + New Reminder

You can now set automated follow-up reminders for both customers & back-office team for the pending invoices.

1. Select the "Settings" module from the left panel, and under the "Configuration Settings" section, select the "Quotes & Invoices."

 

2. Under "Configurations", Select Followup Reminder and choose "+ New Reminder" to add the reminder for Invoices.



3. Enter the following details to create the "New Followup Reminder."
     Choose Module – The dropdown displays all the Quotes / Invoices. (Mandatory field)
     Remind To  – The reminder type can be the customer or internal teams. (Mandatory field).
     Reminder Name (Mandatory field) – The name of the reminder.
      Remind In Days: The follow-up reminder (Remind Before, Remind after) is based on the Due date and Invoice date. This is the new feature we have          added.
If the notification is chosen as an "Email," then the user needs to fill in the From ID, Additional Email Recipients, Email Subject (Mandatory field), and the Email body (Mandatory field).

Select the "Save Reminder" option to save the follow-up reminder. 


The new reminder has been created successfully, and by now, you can also edit the existing invoices.

With our new update, you can send an alert based on the due dates, invoices date, quote date, and expiry date.
